There’s another way for Filipinos to apply schengen visa in the Philippines. This is to apply Schengen Visa at Italian Embassy through VIA Center. Currently Visa Information and Application Center (or VIA) t serve as liaison for the Italian Embassy and as call center for several others. But here I will only focus on how to Apply Schengen Visa at Italian embassy through VIA Center. I stumbled upon this through pure luck.
So yes, I’m going to Europe again. I’m so happy!
3- Steps to Apply Schengen Visa at Italian Embassy with VIA Center
Step 1 – Schedule an appointment for submission of application form.
There are 2 ways to schedule: (1) Call the expensive 32pesos per minute hotline or (2) Walk-in to sign up for a schedule. If you apply during the low season (not summer), you may even be able to submit the same moment.
Step 2 – Prepare the Requirements

PROs and CONs with Apply Schengen Visa at Italian Embassy with Via
NEGATIVE
- You have to pay a service fee of PHP1,400 on top of the Schengen Visa fee of 60 Euro (PHP3,700).
- Your application is not prioritized actually. So it takes longer than if you apply directly at the embassy. It takes about 2 weeks to 1 month.
POSITIVE
- You don’t need to wait for 2 months to get a schedule.
- You can call the hotline or just walk in to sign up for appointment.
- You can normally get a schedule for the next day or the day after.
- There’s VIA center in Cebu for those in that area. But there is also a Norwegian Consulate in Cebu if you wanna check that out.
- The VIA Center staff were super nice. There are 9 counters + 1 cashier and everyone were friendly, courteous, and helpful. I was observing! Far cry from many embassy workers who exercise terrorism on applicants to feed their elephant egos.
- When you make a mistake in the application, they don’t send you to another embassy, they help you correct it.
- You don’t have to deal with equally egocentric security guards.
- You can bring your mobile phone.
- There are enough chairs to seat.
Why I did not apply Schengen Visa at the Belgian Embassy
I was going to apply Schengen visa at the Belgian embassy, because the main reason for going to Europe is to attend the Tomorrowland Festival in Belgium. I called up the Belgium embassy hotline (Php32 per minute) on April 7, 2014 to make an appointment and they scheduled me for May 30, 2014. I was super surprised I needed to wait 2 months for an appointment, but thought it’s fine since I don’t plan to leave for Europe until July. Visa only takes 10-15 days per my previous experience.
Who would have thought that my application will not be accepted?
I have been advising people on Schengen Visa for the past 3 years. I thought I’ve hacked the Schengen Visa application for Filipinos! But turns out, there’s one more thing. And that is,
To apply at the embassy of the country you are staying the longest in (most number of days). And if you are visiting several countries and staying equal number of days, you have to apply at the first country of the longest stay.
Because in my mind, the Tomorrowland festival is the main reason for my trip, I decided to apply at the Belgian embassy even if this is the last country of my Eurotrip. I wanted to stay for around 30 days and made an itinerary of 4 weeks in 4 countries staying 7 days on each.
I thought I was going to have quickest appointment record because my documents were complete and arranged according to the checklist sequence. The girl looked over my document for 1 minute and said, ok I’ll go get receipt for your payment. 5 minutes later, she handed me back my whole folder apologizing for not being able to accept my application, and that I should apply at the Italian Embassy instead.
What?
But because Italy was my first stop and my itinerary showed that I am staying the same number of days in Italy as with Belgium. I offered to adjust my itinerary; to put one more day in Belgium and 1 less day in Holland to make Belgium the longest stay. She refused saying because she has already seen it.
Seriously??? Are we in court?
My issue was not that I don’t want to go to the Italian embassy, but my concern was what if there were no slot available until July? Since it was already May 30 and I wanted to fly out on July 1? I scheduled my May 30 appointment on April 7 I told her. She said, sorry I can’t help you.
Why not??? Itineraries are not cast in stone! It’s not like I am missing an important document, fund for travel, or a valid passport. It was just a matter of adjusting 1 more day stay in Belgium to make it the longest stay.
Via to the Rescue
Luckily my trip starts in Italy and VIA center serves Italian embassy. I went to the Italian Embassy first attempting to plead early schedule, but the guard sent me to VIA. I went over to their office in Allegro Center and I was able to get schedule for the 2nd day and my application was accepted. I had actually used an older version of the Schengen Visa application form which I downloaded from the Belgian Embassy website. The women who served me gave me a new application form to fill out there.
Schengen VISA
is the visa issued by the countries in the Schengen agreement that allows no border controls within the said regions. There are currently 26 countries in this agreement, all are countries in the European continent but not necessarily members of the European Union. Schengen Visa is issued for Tourism purposes only.
Philippine passport holders are required Schengen visa to visit one or more of these Member States. This visa is valid in all Schengen states for a stay of up to 90 days within a six-month period for a visit, tourism or business. It is not valid for employment.
Belgium, Denmark, Estonia, Finland, France, Greece, Iceland, Italy, Latvia, Liechtenstein, Lithuania, Luxembourg, Malta, Monaco, The Netherlands, Norway, Poland, Portugal, Slovakia, Slovenia, Spain, Switzerland, Sweden, the Czech Republic, Germany, Hungary and Austria.
As of January, 2014, valid Schengen visa (type: double or multiple entry), who have already entered the Schengen area, may travel to the following without additional visa and may stay for period equal to the remainder of the time for which the Schengen visa is valid. The said 2 countries membership to Schengen region are in process.

Hi! Please enlighten me as to what to do. My husband is in Italy with all my in-laws. He could not petition me yet because his permit to stay is yet to be released and we have been waiting for it for several months now. My mother- in-law is an Italian citizen by marriage and my father-in-law, who is an Italian national, wants to invite me to visit them. Will I be granted a tourist visa even if they know that my husband lives and works there? Also, do I need to buy a travel insurance even if I will only visit 1 European country for 10 days? Thank you.
Thanks for this post! We’re off to Italy for two weeks this August, so we’re busy preparing for the visa. Although the fact that we’re living in Japan makes stuff quite unclear though. I’m guessing the requirements aren’t the same.
Anyway, I called the embassy in Tokyo and they only asked for 8 documents. I made sure he knows we’re not Japanese and we’re from the Philippines haha. I’m quite worried because it sounds too few. Hope everything goes well…
hi beard just wanna know which travel agency did you go to for bookings? im from japan too. i think the embassy doesnt allow online documents. your help would be appreciated thanks
Hello. I applied for a Schengen Visa to the Italian Embassy thru VIA.PH last February 19, 2015 but I haven’t received any feedback regarding my visa status from them. I’ll be needing my passport next week because I have a business trip to Vietnam. How long does it actually take a visa application to process? I don’t know where to contact them. Thanks for your future replies.
Processing time for a complete application that raises no concerns is max. 15 calender days. If further scrutiny is required then individual cases can take up to 30 days. In exceptional cases when more evidence is required, 60 days. You may wish to respectfully contact the embassy if you think something might have went wrong or simple -in your case- because you will need your passport back soon.
The Schengen rules have this to say:
“8.1.What are the deadlines for taking a decision on an application?
Legal basis: Visa Code, Article 23
Decisions on visa applications should be taken as soon as possible, without compromising the thorough assessment of whether an applicant fulfils the entry conditions or presents an
immigration risk on the basis of the documentation submitted and the information provided. A means to keep issuing times reasonable and relatively short is to make detailed information
about the requirements widely available to applicants, so that all relevant documentation and information are submitted with the initial application. The decision-making may, however
, take up to 15 calendar days after the application has been considered admissible (see point 4.5 ). This deadline includes the deadline for possible prior consultation of other Member States (see
point 7.7 ) or of the consulate’s own central authorities. While processing a visa application, the consulate shall not systematically let this deadline expire but take account of duly justified
urgency claimed by the applicant (humanitarian grounds). Urgency should be distinguished from negligent late submission of the application.
In individual cases, where further scrutiny of the application is needed by the consulate’s own central authorities or in case of representation where the authorities of the represented
Member State are consulted, the deadline may be extended up to a maximum of 30 calendar days after the application has been considered admissible.
Only exceptionally, where additional documentation is required needed, the deadline may be extended up to a maximum of 60 calendar days after the application has been consideredadmissible. “
Sir Rob, do I still need to get a transit visa for Dubai? i have 4.5 hours layover in Dubai upon going to Italy and 9 hours layover upon coming back here.
I would ask the airliner. generally the answer is “no, because you stay in the international side of the airport and thus remain in transit”. But if the airport or part of the aiport requires you to pass immigration or as some other special rules you may need a visa. COntact the airliner via their office in PH and they are surely should be able to confirm if you need a transit visa or not.Educated guess: I don’t think you need one as you remain in transit. But better save and sorry and check with the airliner.
Thanks for this, Rob! I’ve been waiting for almost 15 business days (since submitting to via) and I havent heard back :(
The official deadline is 15 calender (not business) days but can be aslong as 30or 60 days incase the embassy is unsure and needs more documentation or research. For most applicants it should only take 15 days max but some embassies may not respect those legal deadlines during holiday seasons (no money or too lazy to employ more staff and they know not a lot of people will dare to complain to the embassy about waiting too long).Hope you got your visa by now though!
Contact info of the Italian embassy:
http://www.ambmanila.esteri.it/Ambasciata_Manila/Menu/Informazioni_e_servizi/Visti/
Note that allthough they use an oursource partner, this partner is entirely optional for all applicants (right of direct access). So I’d contact the Italians aswell and if you used their partner, contact them aswell.
People who wish to use direct access should be granted an appointment within 2 weeks of the request so the text “Alternatively, the visa application can be submitted directly to the Visa Section of the Embassy by booking – well in advance – an appointment through…” is a bit silly. Questionable even, as it seems they won’t give people an appointment within 2 weeks like they should. Hopefully it’s just you who is experience such a long processing time (too long). A complete applicatio should take 2 weeks (to get an appoinntment within 15 days) and an additional other 2 weeks processing time. If they have concerns it would add an other 15 days giving a total processing time of 1,5 months from the very start (request for an appointment) to getting the visa back.
hi miss wanderlass, your blog really helps. coming this may my grandparents (81 and 73 yo), wants to have a euro tour (italy and france) as for their last trip since they have been travelling US before and now they want me to accompany them. I have work here, and I will just take a leave to go with them, we are planning a 15 day tour since I only have 20 days leave. My question is, will I declare that my grandparents are paying for my trip? since they are really paying for it. secondly, do i have a high chance to get a visa? which is more easier and faster to apply a visa, would it be france or italy? since they want to travel MAY. Thank you wanderlass, hoping for your reply.
Make sure that they show they have access to sufficient money and let them and you explain in a note that they will pay for your costs. I’d ofcourse apply together. You would also need to convince the embassy of reasons to return (ties to PH such as a house, land, good travel history etc.). You will have to apply at the embassy that is your main destination.
If you wish to see statisics about visa denial: in 2013, France got 13974 applicants and denied 7,2%. The Italians got 15317 applications and refused 8,5%. Source: EU Home Affairs statistics (google for “Complete statistics on short-stay visas issued by the Schengen States”).
Hi Wanderlass (IM BEGGING FOR YOUR HELP),
I am about to apply a schengen visa at the dutch embassy. I am just confused on where to put my two photograps, do I need to attach them or just like that? Plus one more thing, I am a college student but since Im gonna apply this march which is summer vacation here and planning to visit on may 28, I am not in school or not enrolled yet so I cant show a certificate of enrollment and even leave of absence. My host will provide me everything, he already sent me the docus. Now I calculated that if I will stay there for 25 days, I should have 850 euros for the whole stay, but since I have a host and will provide everything, do you think showing them that I have my money as well like 850 in the bank even though I have sponsor, is enough? Wanderlass, im begging for your help. Please reply to me. Thanks!
One photo goes on the application form, the other is handed in seperatly (for the visa sticker). Or easier: hand them both in seperatly and the staff can glue the photo etc. for you.
With (€34,- * 25days =) 850 you have enough to be selfsufficient though there is no requirement to show this if your host gave a financialguarantee (filled in, signed by host and legalized Dutch “Proof of Sponsorship and/or private accommodation” form), but no harm in showing you have money yourself. The more links and connections to PH the better and some good cash in your bank might be a contributing factor that you won’t seek employement or illegal stay in NL.
Hi, Please help me with this matter. I have made an schedule appointment for schengen visa application and successfully made the payment but the country of origin is Dubai instead of Philippines.. What shout i do? :(
If they accepted your application you should be fine, one can apply from the country one is either a national of or has long term residency. In exceptional cases (emergencies etc.) one can also apply from an embassy were one is only a tourist.
This blog is so helpful! The only thing I didnt like about going to the place is mahirap maghanap ng car park super limited lang talaga! and it sucks. Anyway bumawi naman sa mga nag wowork sa embassy because they’re so helpful ☺️ Which is great! Kahit na matagalan sa pila hindi masyadong iinit ulo mo because of the smiling face officer. Thanks to Trixie na nag assist saken hopefully my application is successful
Hello!
May I ask if they already contacted you about your visa? Nag-apply din kase ang husband this week lang.
Thank you!
IF my travel date is on the last week of June can I apply for a schengen visa as early as first week of Feb?
Hi ma’am! Do we need manager’s check for the visa fee and service fee or just cash? Thank you!
cash
May I know if it would help to apply with 1 month itinerary or 3 months itinerary going to Denmark? I meant, will I get a better chance in getting the visa if I got a shorter itinerary?
You stand a good chanche of obtaining the visa if the application makes sense to them. If you have a job and say you want to visit for 3 months, it will raise questions (how many people get 3 months off from work?!). A 3-4 week holiday would then be more sensesable. A very short holiday of 3-4 days on the other hand might also be odd, why travel all across the world at heavy costs for such a brief visit? They’d probably suspect you are not being honest. So simply make a genuine travel plan that makes sense and you should be alright. If this is your first trip abroad, a holiday up to a month makes sense but longer is still possible if you have good arguments that you can afford such a long trip and will return home.
Hello po
When you applied in VIA, did they give you a sort of tracking number for your visa application?
Thank you!
hi, Ms. Wanderlass. Just an inquire. how did u get back ur passport/visa from the embassy when u applying a Schengen visa(Dnmark)?

hi,ms. wanderlass and everyone! pg once na ibinalik ung passport sa may- ari, is it mean that his/her visa is granted or? #after 1month Schengen visa process out of 3mos. waiting.

Hi… i been following this blog last 3 days ago…I am working here in Kuala Lumpur. I am planning to visit Italy this coming october since its my annual leave…Can i process here in Italian embassy of Kuala Lumpur Malaysia a Schengen visa..?
You can apply from any nation in which you have legal residency (long stay), only if you are a tourist (stay of 3 months or less) will you not be able to apply (though the embassy can Always chose to handle your case anyway if they believe it would be unfair to tell you to apply from the country/countries where you have residency). So assuming you are legally staying for more then 3 months in KL, then yes you can apply from there.I’d ofcourse include a copy of papers that show that you indeed are living legally in KL.
Hi, I just want to ask if how long will it take for the visa processing once I already forward my documentstiin in the embassy in Kuala lumpur? Thanks.
Hi! My cousin’s are planning to visit italy they are a US citizens so they dont need a visa..but they want me to go with them they will shoulder all the expenses during our trip..i dont have work do what is your advice? What should i do?
Thanks in advance wanderlass
